Forlods provides a platform for planning and managing events. This Privacy Policy explains how Forlods processes personal data when you use our website, create an account, manage an event, respond to an invitation, or otherwise interact with our services.

1. Who this policy applies to
This Privacy Policy applies to:
- visitors to our website;
- users who create or use a Forlods account;
- event administrators who plan events using Forlods;
- guests who provide information through an RSVP form or otherwise interact with an event hosted through Forlods; and
- other persons who communicate with Forlods.
You must be at least 18 years old to create a Forlods account.
Children may be registered as guests by an event administrator or by a parent or guardian.
2. Our role when processing personal data
Forlods processes personal data for different purposes.
For account administration, payments, security, analytics, communication, marketing and operation of our own business, Forlods determines how and why personal data is processed.
For information relating to guests of an event, the event administrator generally determines which information is requested and how it is used for the event. Forlods provides the technical platform used to collect, store and manage this information and processes it primarily for the purpose of providing the service requested by the event administrator.
The exact legal roles may depend on the nature of the event and the circumstances in which the service is used.
3. Personal data we process
Depending on how you use Forlods, we may process the following types of information.
Account and contact information
This may include:
- name;
- email address;
- telephone number;
- address;
- login and account information; and
- information you provide when communicating with us.
Event information
Event administrators may provide information including:
- event date;
- locations;
- programme and schedule;
- suppliers;
- budget information;
- messages;
- guest information; and
- information entered into notes and other free-text fields.
Because some fields allow free text, users may choose to enter other information that is not specifically requested by Forlods.
Guest and RSVP information
Guests may provide information through an RSVP form, including:
- name;
- email address where relevant;
- attendance status;
- food preferences;
- allergies;
- dietary requirements;
- other special considerations; and
- other information requested by the event administrator or voluntarily entered by the guest.
Information about allergies, health requirements or similar circumstances may constitute sensitive personal data.
Forlods does not use such information for its own purposes. We process it to make the relevant event functionality available to the event administrator and guest.
Payment information
Payments are handled through an external payment provider such as Stripe or another equivalent payment service.
Forlods does not receive or store your full payment card details.
We may receive information about the payment, such as:
- payment status;
- amount;
- date;
- transaction reference; and
- billing information required for accounting and customer administration.
Technical and usage information
When you use Forlods, we may process information about how the service is used, including:
- pages and features used;
- interactions with the platform;
- device and browser information;
- IP address and similar technical information;
- error and diagnostic information; and
- product usage information.
We may also use analytics and session-recording tools in the logged-in application to understand how the product is used and to improve the service.
We seek to limit the collection of unnecessary personal information through such tools, including by masking or excluding sensitive form content where appropriate.
4. How we collect personal data
We may receive personal data:
- directly from you when you create an account, complete an RSVP form, enter information into the platform or contact us;
- from an event administrator who uses Forlods to manage an event;
- automatically when you use our website or application;
- from payment providers; and
- from service providers used to operate Forlods.
5. Why we use personal data
Providing the Forlods service
We process personal data to:
- create and administer accounts;
- allow users to create and manage events;
- provide RSVP and guest-management functionality;
- provide event planning functionality;
- maintain and operate the platform;
- provide support;
- process purchases and subscriptions; and
- communicate important information about the service.
For account holders, this processing will generally be necessary to perform our contract with you or to pursue our legitimate interests in providing and operating the service.
Event and guest administration
Guest information is processed to provide functionality requested by the event administrator, such as RSVP management, guest lists and coordination of dietary requirements and special considerations.
We do not use information about guests' allergies, dietary requirements or special considerations for advertising, profiling or unrelated commercial purposes.
Where sensitive personal data is collected, the event administrator and, where applicable, Forlods must ensure that an appropriate legal basis exists for that processing.
Service messages and reminders
We may send account holders operational and product-related messages, including:
- information about activity on an event;
- reminders related to an upcoming event;
- information about incomplete event planning tasks;
- security or account messages; and
- information about significant changes to Forlods.
These messages form part of operating and supporting the service and are separate from marketing communications.
Product improvement and analytics
We use information about how Forlods is used to understand whether features work as intended, identify problems and improve the product.
Depending on the technology used and applicable law, this processing may be based on our legitimate interests or your consent.
Where cookies or similar technologies require consent, they will only be used after the required consent has been obtained.
Marketing
We may send marketing communications about Forlods only where we have an appropriate legal basis, including consent where required.
You can withdraw a marketing consent or unsubscribe from marketing communications at any time.
6. Cookies, analytics and similar technologies
Forlods may use cookies and similar technologies for:
- technically necessary functionality;
- security and authentication;
- analytics and product improvement; and
- marketing.
We currently use analytics and product-analysis services and may use advertising technologies such as the Meta Pixel.
Technologies that require consent will not be activated until the required consent has been provided.

7. Sharing information with event suppliers
Forlods may allow an event administrator to send information to a supplier involved in the event.
Information is only shared when the event administrator requests the sharing.
Depending on the service being provided, this may include information such as:
- number of guests;
- dietary requirements;
- allergies or other relevant special considerations; and
- other event information relevant to the supplier.
Forlods does not provide guest contact information to suppliers where it is not relevant to the supplier's role.
8. Service providers
We use third-party service providers to operate and develop Forlods, including providers of:
- hosting and cloud infrastructure;
- databases;
- email delivery;
- authentication;
- analytics and product analysis;
- payment processing;
- security and technical monitoring; and
- other infrastructure required to provide the service.
These providers may process personal data on our behalf or, in certain circumstances, for purposes determined by them in accordance with their own legal obligations.
We select and manage service providers with the aim of ensuring an appropriate level of data protection.
We do not list every individual service provider in this Privacy Policy so that we can change providers as our service develops without making immaterial changes to this policy.
9. International transfers
We aim, where reasonably possible, to use suppliers and processing locations within the EU/EEA.
Some service providers may process personal data outside the EU/EEA.
Where personal data is transferred to a country that has not been recognised by the European Commission as providing an adequate level of data protection, we use an appropriate transfer mechanism where required, such as the European Commission's Standard Contractual Clauses, together with any additional safeguards that may be necessary.
10. How long we keep personal data
We do not retain personal data for longer than necessary for the purposes for which it is processed.
Event and guest data
As a general rule, event information and associated guest data are deleted 12 months after the event date, unless the information has been deleted earlier or we are legally required to retain specific information for longer.
Account deletion
Users can delete their Forlods account.
When an account is deleted, we delete associated account, event and guest data unless particular information must be retained to comply with a legal obligation.
Accounting records
Certain information relating to purchases, payments, invoices and accounting may be retained for the period required under applicable accounting and tax law.
This does not mean that unrelated event information, guest lists, allergies or similar event data are retained for accounting purposes.
Backups and technical records
Deleted information may remain for a limited period in secure backups or technical records before being overwritten or deleted in accordance with our technical retention procedures.
11. Security and access
We use technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, disclosure or access.
Access to personal data within Forlods is restricted to persons who need access for legitimate operational purposes.
Guest information, including allergies and special requirements, is not routinely accessed by Forlods staff and is processed primarily to make the relevant functionality available to event administrators.
12. Your rights
Depending on the circumstances and applicable law, you may have the right to:
- request access to your personal data;
- request correction of inaccurate personal data;
- request deletion of personal data;
- request restriction of processing;
- object to certain processing;
- receive certain personal data in a portable format; and
- withdraw consent where processing is based on consent.
These rights are subject to the conditions and exceptions contained in applicable data protection law.

If your request concerns information collected for a particular event, we may need to involve or refer you to the relevant event administrator.
You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet) or another competent supervisory authority.
13. Changes to this Privacy Policy
We may update this Privacy Policy as Forlods and our processing of personal data develop.
If we make material changes that significantly affect how we process your personal data, we will provide appropriate notice before the changes take effect where required.
The latest version of this Privacy Policy will always be available on our website.
